Results are based on your inputs and conservative assumptions. An expert review can help turn this estimate into a workflow-specific business case.

Why ATS ROI is hard to estimate

Most ATS ROI calculators either oversimplify the model or produce numbers that sound impressive but rely on assumptions that do not hold. This one is designed differently.

What is included

This calculator covers recruiter productivity savings, time-to-fill reduction (when vacancy cost is provided) and external spend savings. For recruitment agencies, it also includes an output-per-recruiter estimate when placement data is available.

What is excluded

Bad-hire cost reduction, quality-of-hire revenue impact, employer brand improvements and risk-reduction value are intentionally left out. These are real benefits, but they are difficult to estimate without organisation-specific data and create a false precision problem.

Why assumptions are conservative

The base scenario applies 10% uplift assumptions for productivity and external spend reduction. These are well below what many implementations achieve in practice, but they are chosen deliberately. A conservative estimate that holds is more useful than an optimistic one that does not.

Where an ATS creates economic value

The four areas below account for the majority of measurable ROI in structured hiring systems. Each driver is independently calculable and included in this tool where data permits.

Recruiter productivity

Less admin, more hiring

Structured pipelines eliminate manual tracking, status chasing and duplicated data entry. Recruiters spend more time on candidate engagement and less time on process overhead.

Time-to-fill reduction

Faster placements, lower vacancy cost

Every open role has a cost per day - in lost productivity, management overhead, or deferred revenue. Cutting time-to-fill by even 5–10 days per hire compounds significantly at scale.

External spend reduction

Fewer agencies and job boards needed

A structured ATS gives recruiters better visibility into pipeline health, reducing dependence on expensive agency placements and reactive job board spending to fill gaps.

Process visibility

Fewer coordination errors, better decisions

When everyone involved in hiring can see the same data, coordination errors drop and decisions improve. This is harder to quantify but consistently cited as a primary benefit by teams who switch from spreadsheets.

How HarmonyATS improves the recruiting process

Each of the value drivers above is supported by specific capabilities in HarmonyATS - not through theoretical claims, but through workflow changes that are observable and measurable.

01

Structured pipeline visibility

Every candidate moves through a defined stage sequence. Recruiters, hiring managers and team leads see the same pipeline state in real time. Status meetings get shorter. Chasing updates stops. Decisions happen faster because the information is already in front of the right people.

02

Workflow automation

Stage transitions trigger automated actions - candidate communications, interview scheduling prompts, internal notifications. Recruiters stop managing process manually and focus on the work that requires human judgement. The time savings compound across every open role and every hire.

03

Hiring manager collaboration

Feedback loops between recruiters and hiring managers are one of the largest sources of time-to-fill drag. HarmonyATS gives hiring managers a structured interface for submitting scorecards, approving candidates and flagging concerns - without requiring them to learn a recruiter tool or respond to unstructured messages.

Who this calculator is for

The calculator is designed for three distinct hiring contexts. Each has different ROI drivers, different decision criteria and different outputs.

Recruitment Agency

Recruitment agencies

For agency leaders and ops managers evaluating whether an ATS would increase placements per recruiter, reduce delivery time and give clients better visibility. Key metrics: output per recruiter, operational control, client delivery visibility and less admin overhead.

In-house SMB

In-house SMB teams

For HR managers, generalists and founders at growing companies deciding whether an ATS is worth it yet. Key questions: time-to-fill, external spend and rollout simplicity. The calculator helps answer these with your own numbers rather than industry averages.

Mid-market

Mid-market and fast-growing

For talent acquisition leaders and HR directors at scaling organisations where hiring manager coordination, forecast accuracy and a CFO-ready business case are the primary requirements. The calculator produces the numbers needed to start that conversation.

Frequently asked questions

The calculator uses three value drivers: recruiter productivity savings (based on time saved per recruiter), time-to-fill savings (based on vacancy cost reduction) and external spend reduction. Each is calculated from your inputs and scenario assumptions.

Recruiter productivity savings, external spend reduction and optionally time-to-fill savings if you provide vacancy cost per day. Agency output estimates are included if you use the Agency mode and provide placement data.

Bad-hire cost reduction, quality-of-hire revenue impact and risk-reduction value are not included in this version. These are excluded intentionally to keep the model conservative.

The calculator uses conservative scenario assumptions and your own inputs. It is an estimate, not a guarantee. Actual results depend on your current process, team adoption and implementation scope.
